The Front Office Receptionist is an integral member of a dynamic team responsible for the smooth operation of the organization’s front desk. Responsibilities

  • Greet guests promptly and professionally as they arrive at the front desk.
  • Answer phone calls and route them to the appropriate personnel promptly.
  • Manage and coordinate meeting room bookings and office calendar.
  • Ensure the reception area is always tidy and presentable.
  • Process incoming and outgoing mail, packages, and deliveries effectively.
  • Assist in compiling and maintaining updated office records and files.
  • Provide basic and accurate information to guests and clients in person and via phone.
  • Help prepare necessary documentation for meetings and conferences.
  • Coordinate with office suppliers and maintain inventory of office supplies.
  • Perform administrative support tasks, including filing, photocopying, and faxing.
  • Assist with ad-hoc administrative tasks to support office operations.
  • Liaise with the facilities team regarding any maintenance issues.

Requirements

  • High school diploma or equivalent is required for this position.
  • Previous experience as a receptionist or in a similar role preferred.
  • Excellent verbal and written communication skills are essential.
  • Proficiency with Microsoft Office Suite and general computer skills.
  • Strong organizational skills and exceptional attention to detail are necessary.
  • Ability to handle stressful situations calmly and professionally.
  • Must have a friendly, approachable, and professional demeanor.
