The Front Office Executive plays a pivotal role in maintaining a welcoming and organized environment at the forefront of a company's operations. Responsibilities

  • Greet and welcome all visitors with a friendly and professional demeanor.
  • Answer and direct phone calls to appropriate departments or personnel effectively.
  • Manage and coordinate the daily schedules and meetings for senior management.
  • Maintain the cleanliness and organization of the front office reception area.
  • Coordinate with administrative and support staff concerning office workflow.
  • Handle inquiries and provide information to clients and staff as needed.
  • Receive and sort daily mail and deliveries for distribution to staff members.
  • Maintain conference room and meeting area bookings and preparations.
  • Ensure that the office reception area is always visually appealing and presentable.
  • Maintain accurate records of visitor logs and appointments for security purposes.
  • Assist in preparation of company documents and presentation materials as required.
  • Execute administrative and clerical tasks based on priority and urgency levels.

Requirements

  • High school diploma or equivalent; additional qualifications preferred.
  • Minimum of two years' experience in a front office or administrative role.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Excellent communication skills with a strong customer service orientation.
  • Exceptional organizational skills with the ability to multitask effectively.
  • Strong problem-solving skills and the ability to handle high-pressure situations.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
