Job Description

The Front Office Executive is a pivotal role within the hospitality or corporate environment, where first impressions are crucial. This position involves managing the front desk operations effectively and efficiently, ensuring that clients, visitors, and employees receive a welcoming and professional experience upon entering the premises. The candidate in this role will be the face of the organization, responsible for managing inquiries, directing calls, and providing general administrative support across the organization. A successful Front Office Executive must possess excellent organizational and communication skills, a keen attention to detail, and the ability to multitask in a fast-paced environment. This role demands a high level of professionalism and the ability to handle sensitive and confidential information discreetly.


Responsibilities

  • Greet and assist visitors with a professional and welcoming demeanor at all times.
  • Answer, screen, and forward incoming phone calls while providing basic information as needed.
  • Ensure the front desk area is tidy, organized, and aesthetically pleasing at all times.
  • Receive and distribute mail, packages, and deliveries efficiently and promptly.
  • Schedule and manage appointments and meetings for senior management and staff members.
  • Maintain and update visitor logs and issue visitor badges as required.
  • Coordinate with internal staff for meeting room bookings and resource allocation.
  • Perform filing, scanning, and data entry tasks to support administrative processes.
  • Handle customer inquiries and complaints in a professional and courteous manner.
  • Assist with administrative duties such as photocopying, faxing, and collating documents.
  • Manage inventory of office supplies and place orders when necessary to avoid shortages.
  • Ensure compliance with safety and security protocols at the front office premises.

Requirements

  • Bachelor's degree in hospitality management, business administration, or related fields preferred.
  • Proven experience as a Front Office Executive or in similar customer-facing roles.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Excellent verbal and written communication skills are essential for this role.
  • Strong organizational abilities and exceptional attention to detail are necessary.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • High level of professionalism and ability to handle confidential information discreetly.
