Job Description

The Front Office Associate is a pivotal role in maintaining the efficient operations of a company, serving as both the first point of contact for clients and visitors and the initial representative of the organization’s image. This position demands a proactive personality with excellent communication and organizational skills. The Front Office Associate is responsible for executing various administrative tasks which contribute to smooth daily operations. The individual will directly support various departments as needed, ensuring a proactive approach to problem-solving and client services. This role requires a detail-oriented individual who can handle multiple tasks with ease while maintaining a friendly and professional demeanor. A successful Front Office Associate will possess the ability to manage reception effectively, prioritize tasks and engage with a high level of professionalism at all times to reflect the company’s values and integrity.


Responsibilities

  • Manage the reception area to ensure efficient communication and operations.
  • Greet and provide hospitality to visitors and direct them accordingly.
  • Answer, screen, and forward incoming phone calls in a courteous manner.
  • Ensure reception and common areas are kept tidy and presentable.
  • Maintain office security by issuing visitor badges and managing logbooks.
  • Assist in scheduling and coordinating meetings and conference rooms.
  • Handle incoming and outgoing mail and courier services promptly.
  • Coordinate with office management on inventory and supply requisitions.
  • Support administrative tasks such as data entry, filing, and scanning documents.
  • Manage appointment scheduling and follow-up call logs as required.
  • Address and resolve customer queries or direct them to the appropriate staff.
  • Assist with basic clerical tasks and other duties as assigned by management.

Requirements

  • High School Diploma or equivalent qualification is required for this role.
  • Proven experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Office Suite software (MS Word, Excel, Outlook) essential.
  • Exceptional customer service skills with a professional and friendly attitude.
  • Excellent verbal and written communication skills are critically important.
  • Strong organizational skills with the capacity to multitask effectively.
  • Ability to work independently in a fast-paced and challenging environment.
