Job Description

As a Front Office Associate, you will serve as the first point of contact for guests and ensure their experience at our establishment is both welcoming and efficient. This role is pivotal in maintaining the professionalism and hospitality that our brand is known for. Your ability to manage daily operations, greet guests with a warm demeanor, and handle diverse administrative tasks is essential. A successful Front Office Associate should possess excellent communication skills, multitask efficiently, and work well under pressure while maintaining a poised and helpful demeanor. Your attention to detail and proactive approach will help in managing front office operations smoothly and contribute to a positive guest experience.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Ensure the front office is neat, presentable, and adequately stocked.
  • Answer, screen, and forward incoming phone calls professionally.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries competently.
  • Maintain office security by following safety procedures and controlling access.
  • Assist in arranging catering and managing meeting rooms on request.
  • Keep updated records of office expenses and costs diligently.
  • Perform other clerical front desk duties such as filing and organizing.
  • Manage bookings and reservations in a timely and accurate manner.
  • Coordinate with other departments ensuring all guest inquiries are handled.
  • Resolve customer complaints or issues with professionalism and empathy.

Requirements

  • Proven work experience in a front office or guest service role.
  • Proficiency in Microsoft Office Suite and general computer literacy.
  • Strong verbal and written communication skills are essential.
  • Ability to manage multiple tasks and priorities efficiently.
  • Familiarity with office machines like fax and printers is advantageous.
  • Excellent organizational skills with keen attention to detail required.
  • High school diploma or equivalent; additional certification in Office Management is a plus.
