Job Description

The Front Desk Receptionist is the face of our organization, welcoming visitors and ensuring they have a positive first impression. In this role, you will manage front office operations, provide high-level administrative support, and facilitate communication across multiple departments. As the initial point of contact, you will handle inquiries both in-person and over the phone, guide visitors to appropriate contacts, and manage appointment schedules. You will also maintain a clean and professional reception area, handle mail distribution, and ensure that all visitors are assisted promptly and efficiently. Your role is crucial in delivering a seamless customer experience and maintaining the overall efficiency of front office activities.


Responsibilities

  • Greet visitors and direct them to the appropriate department or individual.
  • Answer phone calls promptly and direct calls to correct staff or department.
  • Maintain a clean, tidy, and welcoming reception area at all times.
  • Handle incoming and outgoing mail, including parcels and courier services.
  • Manage appointment scheduling, cancellations, and confirmations effectively.
  • Provide clerical support, including data entry and email correspondence.
  • Ensure all visitors sign in and are provided with necessary security access.
  • Assist in the setup and coordination of office meetings and events.
  • Monitor office supplies and notify appropriate personnel for restocking needs.
  • Assist with administrative projects as needed by management or departments.
  • Maintain records of visitor logs and other pertinent documentation accurately.
  • Deliver excellent customer service to clients and staff at all times.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven work experience as a receptionist or in a similar role is advantageous.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel.
  • Excellent verbal and written communication skills are required.
  • Strong interpersonal skills with the ability to manage multiple tasks.
  • Ability to handle sensitive information with a high level of confidentiality.
  • Strong organizational skills, attention to detail, and multitasking abilities.
