Job Description

An Executive Assistant to the CEO plays a critical role in supporting the CEO and ensuring the smooth operation of executive tasks and strategic initiatives. As a right-hand confidante, the Executive Assistant will coordinate executive communications, including taking calls, responding to emails, and interfacing with clients. They play a vital role in project management, document preparation, and the facilitation of key administrative duties. The Executive Assistant is expected to manage and organize the CEO's calendar, schedule meetings, and handle travel logistics. They must possess a high degree of professionalism, discretion, and the ability to maintain confidentiality, as they will be dealing with sensitive company information. Attention to detail and the ability to multitask are essential to succeed in this role. The ideal candidate will be proactive, flexible, and have a strong capacity for problem-solving to anticipate the needs of the CEO.


Responsibilities

  • Coordinate and manage the CEO's incoming and outgoing correspondence and communications.
  • Maintain an organized calendar and schedule all executive appointments for the CEO.
  • Facilitate and coordinate logistics for meetings, including providing agendas and taking minutes.
  • Oversee and organize travel arrangements, including booking flights, accommodation, and transportation.
  • Prepare, edit, and evaluate internal and external documents for the executive office.
  • Serve as a liaison between the CEO and staff, clients, and other external partners.
  • Assist with the planning and execution of various corporate events and engagements.
  • Conduct research and gather data to support the CEO's strategic decision-making processes.
  • Manage confidential files and sensitive information with a high degree of discretion.
  • Collaborate with executive team members to ensure seamless information flow and coordination.
  • Review and process expense reports and reconcile financial statements for the CEO.
  • Anticipate the needs of the CEO to proactively manage workflow and office requirements.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Proven experience as an executive assistant or in a similar administrative role.
  • Excellent written and verbal communication skills with attention to detail.
  • Strong organizational and time-management skills with the ability to prioritize tasks.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Word, Excel, and PowerPoint.
  • Ability to maintain confidentiality and act with discretion in sensitive situations.
  • Demonstrated capacity for multitasking and thriving in a fast-paced environment.
