Job Description

The Executive Assistant to the CEO plays a crucial role in ensuring seamless operations and aiding in the execution of strategic initiatives. This position requires a high degree of professionalism, discretion, and organizational ability to manage an executive office effectively. The ideal candidate will act as the primary point of contact for internal and external communication, coordinating and managing the CEO's schedule, preparing for meetings, and handling complex travel plans. This role demands the ability to work independently, anticipate needs, and resolve issues with little guidance. The Executive Assistant will be a key facilitator of communication across departments and with external stakeholders, contributing to a harmonious work environment and supporting the CEO in achieving organizational goals.


Responsibilities

  • Manage and coordinate the CEO’s daily schedule, meetings, and appointments efficiently and effectively.
  • Act as the main point of contact between the CEO and internal staff as well as external clients.
  • Prepare and review correspondence, reports, and presentations for meetings and communications.
  • Organize and manage complex travel arrangements, itineraries, and accommodations for the CEO.
  • Assist in the preparation and execution of strategic initiatives and special projects.
  • Screen, prioritize, and manage all incoming communication and correspondence for the CEO.
  • Coordinate executive communications, including taking calls, and responding to emails and letters.
  • Support the CEO in maintaining relationships with key stakeholders and partners.
  • Conduct research and compile data to prepare reports for review by the CEO.
  • Handle confidential information with integrity and accuracy to the highest level of professionalism.
  • Maintain comprehensive and accurate records of all documents and communications.
  • Liaise with the executive and senior administrative assistants to handle requests and queries from senior managers.

Requirements

  • Bachelor’s degree in Business Administration or related field is highly preferred.
  • Minimum of 5 years experience assisting top executives, preferably in a similar industry.
  • Exceptional organizational skills and the ability to manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills, with a keen attention to detail.
  • Strong proficiency in Microsoft Office Suite and other relevant office software applications.
  • Proven ability to handle confidential information with discretion and professionalism.
  • Excellent time management skills with a proven ability to meet deadlines in a fast-paced environment.
