Job Description

As a Receptionist II, you will serve as the first point of contact for all visitors and clients, providing exemplary customer service and managing a variety of front desk operations seamlessly. You are expected to perform tasks that include greeting visitors, administrative support, and managing phone lines while ensuring a welcoming environment. As a key representative of the company, you must be well-organized, possess excellent communication skills, and have the ability to handle a fast-paced environment with professionalism. Your role also involves scheduling and coordinating appointments, keeping records, and facilitating communication between departments in a smooth and efficient manner.


Responsibilities

  • Greet and assist all visitors, clients, and staff courteously and promptly.
  • Manage and direct incoming phone calls accurately to the appropriate personnel.
  • Maintain a clean and organized front desk reception area at all times.
  • Schedule, coordinate, and confirm appointments and meetings for office staff.
  • Handle inquiries and provide detailed information about the company effectively.
  • Assist in handling mail distribution, including receiving and dispatching deliveries.
  • Coordinate with various departments to facilitate smooth communication within the company.
  • Assist in organizing and managing company events and logistics as needed.
  • Perform administrative support tasks such as filing, data entry, and managing calendars.
  • Ensure compliance with company policies and procedures in daily operations.
  • Keep detailed records and logs of visitor activities for security purposes.
  • Monitor and maintain office supplies by checking inventory and placing orders.

Requirements

  • High school diploma or equivalent; associate’s degree preferred.
  • Proven experience in a receptionist or administrative role required.
  • Excellent verbal and written communication skills are essential.
  • Exceptional customer service skills with a friendly, positive attitude.
  • Strong organizational skills with the ability to multitask effectively.
  • Proficiency in Microsoft Office Suite and other office management software.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
