Responsibilities

  • Manage the front desk area, ensuring a welcoming and organized environment.

  • Provide essential information and assistance to clients and guests promptly.
  • Facilitate communication between departments by conveying information accurately.
  • Handle incoming and outgoing mail, parcels, and deliveries with careful attention.
  • Maintain and update appointment schedules, coordinating calendar activities effectively.
  • Assist with administrative tasks such as filing, photocopying, and data entry.
  • Oversee inventory of office supplies and initiate orders when necessary.
  • Ensure that common areas such as the waiting room stay clean and tidy.
  • Support special projects and perform other duties as assigned by management.
  • Facilitate the booking and coordination of conference rooms for meetings.

Requirements

  • High school diploma or equivalent is required, additional qualification preferred.
  • Minimum of two years' experience in a receptionist or customer-facing role.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Excellent communication skills, both verbal and written, are essential.
  • Strong organizational abilities with attention to detail and multitasking skills.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Capable of operating standard office equipment, including fax machines and copiers.
