Job Description

The Receptionist 27N25 position is an integral part of our organization, acting as the first point of contact for clients and visitors. Responsibilities

  • Greet and welcome visitors, offering refreshments and assistance as needed.
  • Answer, screen, and forward incoming phone calls politely and efficiently.
  • Maintain a tidy and presentable reception area at all times.
  • Receive, sort, and distribute daily mail and deliveries promptly.
  • Schedule and confirm appointments for clients and staff members graciously.
  • Perform administrative duties, including photocopying, faxing, and filing documents accurately.
  • Ensure all visitors sign in and are issued visitor badges appropriately.
  • Manage and order office supplies, ensuring stock levels are maintained.
  • Coordinate with building management for maintenance requests and services required.
  • Assist with preparing meeting rooms and conference facilities for scheduled events.
  • Support the administration department with data entry and record keeping tasks.
  • Handle sensitive information with integrity and maintain confidentiality at all times.

Requirements

  • Proven work experience as a receptionist or in a similar role required.
  • Excellent verbal and written communication skills are essential for this role.
  • Proficiency in Microsoft Office Suite, especially Word and Excel, is necessary.
  • Strong organizational skills with an ability to effectively prioritize tasks.
  • Professional appearance and demeanor to create a positive impression.
  • Ability to work independently and handle stress in a fast-paced environment.
  • High school diploma or equivalent; additional certifications are a plus.
