The Receptionist plays a crucial role as the front-line representative of our company, responsible for creating a positive first impression for clients, guests, and employees. As the face of our organization, we are looking for an individual with outstanding communication skills, a professional demeanor, and the ability to handle a variety of administrative and clerical tasks efficiently. The Receptionist not only manages front-desk duties and provides excellent customer service but also ensures the smooth operation of day-to-day office activities, contributing to a pleasant workplace environment.


Responsibilities

  • Greet and welcome visitors, ensuring their needs are promptly addressed.
  • Answer, screen, and forward incoming phone calls professionally and efficiently.
  • Maintain security by following procedures, including monitoring logbooks and issuing visitor badges.
  • Schedule and coordinate meetings and appointments for managers and staff members.
  • Receive and sort daily mail or deliveries, distributing them to appropriate departments.
  • Ensure reception area is tidy, presentable, and stocked with necessary materials like brochures.
  • Provide basic and accurate information in-person and via phone or email queries.
  • Assist in the preparation of regularly scheduled reports to support office operations.
  • Order and maintain office supplies inventory, ensuring items are restocked before depletion.
  • Coordinate with facility management for office maintenance issues and repairs.
  • Collaborate with other departments to support special projects and events as needed.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite or other office-related software applications.
  • Hands-on experience with office equipment like printers and fax machines.
  • Professional attitude and appearance with strong attention to detail.
  • Solid written and verbal communication skills for effective interpersonal engagement.
  • Ability to be resourceful and proactive when issues arise, demonstrating problem-solving skills.
  • Excellent organizational and multitasking abilities, with a high degree of flexibility.
  • Customer service attitude, ensuring positive and pleasant interactions with all clients.
