Job Description

The receptionist plays a crucial role as the face and voice of the company, creating a welcoming environment for clients, visitors, and employees. As a receptionist, you will be responsible for managing the front desk on a daily basis and performing a variety of administrative and clerical tasks. The ideal candidate will have excellent communication skills, both written and verbal, and possess a friendly and patient demeanor. You will be the first point of contact for our organization, so a professional and polished appearance and attitude are essential. The role requires multitasking abilities and attention to detail to ensure that all operations run smoothly. The successful candidate will efficiently manage phone calls, assist with inquiries, and provide valuable administrative support that contributes to the smooth functioning of the office.


Responsibilities

  • Welcome and greet visitors in a friendly and professional manner.
  • Answer, screen, and forward incoming phone calls promptly and efficiently.
  • Maintain reception area and all common areas in a clean and tidy manner.
  • Receive, sort, and distribute daily mail, deliveries, and couriers.
  • Perform data entry and handle office documentation with confidentiality.
  • Keep inventory of office supplies and place orders when necessary.
  • Provide basic and accurate information in response to client inquiries.
  • Schedule and confirm appointments and meetings efficiently and accurately.
  • Coordinate with internal staff to ensure available support for visitors.
  • Organize and manage electronic and physical files and records properly.
  • Assist in planning and organizing company events and meetings as needed.
  • Assist with clerical and administrative duties as required by management.

Requirements

  • Proven work experience as a receptionist or in a similar role.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Hands-on experience with office equipment, such as printers and fax machines.
  • Professional attitude and appearance with strong interpersonal skills.
  • Strong written and verbal communication skills are essential for this role.
  • Multitasking and time-management skills, with the ability to prioritize tasks.
  • High school diploma or equivalent; additional certification is a plus.
