Job Description

The Receptionist position is a vital role within our organization, responsible for creating a warm and welcoming atmosphere for all visitors and callers. As the first point of contact, the Receptionist will ensure a positive experience by providing exceptional customer service. This role requires a friendly demeanor, excellent communication skills, and outstanding organizational abilities. The Receptionist will manage the front desk operations, including handling phone inquiries, scheduling appointments, and maintaining a tidy reception area. The ideal candidate will be proactive, detail-oriented, and capable of multi-tasking in a fast-paced environment. Previous experience in a similar role would be advantageous, and proficiency in office technology would be a plus.


Responsibilities

  • Greet and welcome visitors with a friendly and professional demeanor.
  • Answer and direct incoming phone calls to the appropriate staff members.
  • Manage the reception area's appearance, ensuring it is clean and presentable.
  • Schedule and coordinate appointments, meetings, and conference room bookings.
  • Assist in maintaining security by following procedures and controlling access.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Provide basic and accurate information in-person and via phone/email.
  • Keep an updated record of office supplies and place orders when needed.
  • Assist with administrative tasks, including data entry and document filing.
  • Collaborate with other departments to support organizational objectives.
  • Handle visitor queries and ensure a positive experience for all guests.
  • Maintain confidentiality and security of sensitive information at all times.

Requirements

  • High school diploma or equivalent is required for this role.
  • Proven work experience as a Receptionist, Front Office Representative, or similar.
  • Proficiency in Microsoft Office Suite, especially Word and Excel.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent verbal and written communication skills are essential.
  • Customer service attitude with a focus on delivering exceptional experiences.
  • Ability to maintain composure and manage patient interactions under pressure.
