Job Description

The role of a Front Office Executive is pivotal to the smooth operation and service efficiency of a company. Often the first point of contact for clients, visitors, and employees, the Front Office Executive plays a crucial role in creating a welcoming environment and ensuring the seamless execution of front-desk activities. This position entails performing administrative tasks with precision while maintaining a professional demeanor. The ability to efficiently handle communications, both verbal and written, while projecting a positive image to the company's clientele is essential. Front Office Executives must possess exceptional organizational skills, the capacity to multitask, and an eye for detail. As a representative of the company, they should be well-groomed and carry out their duties with utmost dedication to build and promote the company’s reputation and brand image.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office location promptly.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries reliably.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep inventory of stock as needed.
  • Update calendars and schedule meetings for staff as requested.
  • Arrange travel and accommodations for executives and staff, if required.
  • Perform clerical duties such as filing, photocopying, transcribing, and faxing.
  • Assist with special projects and other duties as assigned by management.

Requirements

  • Proven work experience as a Front Office Executive or similar role.
  • Proficient in Microsoft Office Suite and office management software.
  • Hands-on experience with office equipment like printers and fax machines.
  • Professional attitude and appearance with a customer-oriented nature.
  • Solid written and verbal communication skills are crucial.
  • Excellent organizational skills and ability to multitask effectively.
  • High School diploma; additional qualifications will be a plus.
