Job Description

The Front Office Assistant position is a pivotal role in ensuring efficient and friendly operations at the front desk of an organization. This position often serves as the first point of contact for clients, guests, and employees, and thus plays a key role in setting the tone for the company's customer service experience. Responsibilities

  • Greet and welcome guests in a warm and friendly manner at all times.
  • Manage incoming phone calls and direct them to the appropriate personnel or department.
  • Ensure the front desk and reception area are kept tidy and well-organized.
  • Maintain office security by following safety procedures and controlling access.
  • Schedule and confirm appointments while efficiently managing calendars.
  • Assist in sorting and distributing incoming mail and packages to employees.
  • Provide accurate information regarding the company's services and policies to clients and visitors.
  • Coordinate with the facilities team to maintain office equipment and supplies.
  • Assist with basic administrative tasks, including data entry and filing as needed.
  • Prepare and maintain conference rooms for meetings and training sessions.
  • Process and verify all visitor documentation as per company protocols.
  • Provide administrative support to other departments as requested.

Requirements

  • High school diploma or equivalent is required; additional certification in office management is a plus.
  • Proven work experience in an administrative or clerical role, preferably at a front desk.
  • Excellent verbal and written communication skills, with a strong customer service orientation.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment such as printers and fax machines.
  • Ability to handle multiple tasks simultaneously while prioritizing work assignments efficiently.
  • Strong organizational and problem-solving skills with keen attention to detail.
  • Friendly and professional demeanor with the ability to remain composed under pressure.
