Job Description

The Front Office Assistant is a vital part of an organization, acting as the first point of contact for clients and visitors. This role involves managing the reception area, handling administrative tasks, and supporting other departments as needed. The ideal candidate for this position will possess excellent communication skills, a friendly demeanor, and an ability to multitask in a fast-paced environment. They should be able to handle various inquiries, both in-person and over the phone, directing them to the appropriate parties. The Front Office Assistant plays a key role in creating a positive experience for both internal and external contacts through efficient and courteous service.


Responsibilities

  • Handle incoming calls promptly and direct them to the appropriate department.
  • Greet visitors in a professional manner and notify staff of their arrival.
  • Maintain a tidy and welcoming reception area, ensuring a professional environment.
  • Manage incoming and outgoing mail and package deliveries efficiently.
  • Assist with scheduling appointments, meetings, and maintaining the office calendar.
  • Provide general administrative support to different departments as required.
  • Update and maintain office databases and filing systems consistently.
  • Order office supplies and ensure inventory is properly maintained and stocked.
  • Assist in preparation and coordination for company events and meetings.
  • Ensure security procedures are adhered to for access to the office premises.
  • Address queries from clients and visitors, providing accurate information.
  • Support in the preparation and processing of employee and client documentation.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Previous experience in a receptionist or administrative role is preferred.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Strong organizational skills, with the ability to manage multiple tasks simultaneously.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Customer-service oriented with a friendly and professional demeanor.
