Job Description

The Front Desk Receptionist serves as the first point of contact for visitors and clients at the organization, offering exceptional customer service and administrative support. This role requires a professional, welcoming attitude and a keen ability to handle multiple tasks efficiently. As the receptionist, you will be responsible for managing the reception area, answering and routing phone calls, handling inquiries, and coordinating with various departments. Your role is crucial in ensuring a smooth workflow and maintaining a positive organizational image. The ideal candidate will have excellent communication skills, a strong organizational aptitude, and be comfortable using office equipment and technology.


Responsibilities

  • Warmly welcome and greet visitors needing assistance or information.
  • Answer incoming telephone calls and direct them to the appropriate party.
  • Maintain reception area cleanliness and organization throughout the day.
  • Receive and distribute packages, mail, and deliveries to their recipients.
  • Coordinate with security to manage visitor logs and access badges.
  • Assist in coordinating office activities and handling clerical duties as needed.
  • Schedule appointments, meetings, and conference rooms for staff and clients.
  • Provide basic and accurate information in-person and via phone/email.
  • Ensure compliance with company policies and confidentiality protocols.
  • Maintain and update records, spreadsheets, and contact lists accurately.
  • Assist in training new front desk staff as required by management.
  • Perform other related duties and responsibilities as assigned by supervisors.

Requirements

  • High school diploma or equivalent is the minimum educational requirement.
  • Proven experience in a front desk or customer-facing role preferred.
  • Strong verbal and written communication skills are essential for this role.
  • Proficiency with MS Office Suite (Word, Excel, Outlook) and basic office equipment.
  • Excellent organizational skills with keen attention to detail and time management.
  • Ability to handle interruptions calmly and professionally in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality and handle sensitive information.
