Job Description

The Front Desk Receptionist plays a critical role in establishing the initial impression and ensuring the smooth operation of the organizational environment. This position requires a courteous, professional individual with a keen sense of customer service. The Receptionist is the first point of contact for clients, guests, and employees, and thus is pivotal in communicating the professionalism of the organization. Responsibilities include greeting visitors, managing phone calls, and providing assistance while maintaining an organized and welcoming front office. Effective communication skills, a friendly demeanor, and the ability to remain organized and attentive are essential in this role. Responsibilities

  • Greet and welcome guests promptly upon entering the establishment.
  • Manage incoming phone calls and forward them to relevant departments.
  • Provide accurate information to visitors and handle their inquiries.
  • Ensure the front desk is tidy and organized at all times.
  • Assist in scheduling appointments and maintain official calendar events.
  • Receive and sort daily mail and deliveries accurately and timely.
  • Monitor office supplies inventory and place orders when necessary.
  • Provide support and administrative assistance to various departments.
  • Manage visitor logs and issue badges as required for security purposes.
  • Coordinate and facilitate maintenance requests with relevant staff.
  • Handle emergency situations by following established protocols.
  • Develop and maintain communication across different channels for office staff.

Requirements

  • Proven experience as a front desk receptionist or similar clerical position.
  • Proficiency in Microsoft Office Suite and basic computer usage skills.
  • Strong communication and interpersonal abilities are a must-have.
  • Excellent organizational and multitasking capabilities under pressure.
  • Exceptional customer service skills with a friendly and professional demeanor.
  • Ability to manage sensitive information with confidentiality and discretion.
  • High school diploma or equivalent academic qualification required.
