Job Description

The Front Desk Receptionist is the central figure of initial impressions for any organization. This role is crucial in maintaining the company’s image and ensuring smooth daily operations. As a Front Desk Receptionist, you will be responsible for handling a variety of administrative and clerical tasks, from welcoming guests to managing phone calls and ensuring all inquiries are addressed promptly and efficiently. The ideal candidate thrives in a fast-paced environment, displays impeccable communication skills, and has the ability to multitask effortlessly. This position requires a friendly demeanor, excellent organizational skills, and the ability to handle sensitive information with confidentiality and discretion.


Responsibilities

  • Greet visitors and clients accompanying them to the appropriate persons or meeting rooms.
  • Answer, screen, and forward incoming phone calls promptly and professionally.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Sort, log, and distribute incoming mail while managing outgoing correspondence.
  • Keep the reception area tidy and presentable with necessary office supplies and informative materials.
  • Schedule and confirm appointments, meetings, and room bookings as needed by various departments.
  • Perform clerical duties such as filing, photocopying, transcribing, and faxing important documents.
  • Assist in coordinating office events, meetings, and ensure refreshments are prepared and served timely.
  • Manage the inventory and ordering of front office supplies for uninterrupted operations.
  • Provide basic and accurate information in-person and via phone/email to clients and visitors.
  • Complete data entry and database management tasks accurately and in a timely manner.
  • Coordinate with the management and staff to ensure that office operations run smoothly and efficiently.

Requirements

  • High school diploma or equivalent; additional certification in office management is a plus.
  • Proven work experience as a Receptionist, Front Office Representative or similar role.
  • Proficiency in Microsoft Office Suite and experience with office equipment is essential.
  • Strong customer service orientation with excellent verbal and written communication skills.
  • Must have a professional attitude and appearance, complemented with strong interpersonal skills.
  • Ability to be resourceful and proactive when issues arise, ensuring swift problem resolution.
  • Solid organizational skills, with the ability to prioritize tasks effectively and manage time efficiently.
