Job Description

An Export Documentation Executive is a crucial role in the logistics and supply chain sector, responsible for managing and coordinating export documentation processes. This individual ensures that all necessary documentation complies with international laws and regulations. They act as a liaison between shipping companies, customers, and regulatory bodies, ensuring smooth operations and timely delivery. The role requires a meticulous eye for detail, strong organizational skills, and an in-depth understanding of export compliance. As an Export Documentation Executive, you will play a vital part in facilitating international trade, ensuring that all shipping documents are accurately prepared and processed in line with international standards.


Responsibilities

  • Prepare, verify, and process export documents such as bills of lading, invoices, and packing lists.
  • Ensure compliance with international shipping regulations and customs regulations for all export documents.
  • Coordinate with freight forwarders and shipping agents for timely shipment deliveries to overseas destinations.
  • Maintain detailed records of all export transactions and shipping documentation digitally and physically.
  • Communicate with international clients to address documentation-related queries and resolve discrepancies.
  • Stay informed about changes in international export laws and documentation requirements.
  • Provide support in managing customs declarations and resolving any customs entry discrepancies.
  • Assist in the preparation and submission of required export licenses and compliance documentation.
  • Coordinate closely with internal departments to align shipping schedules and documentation processes.
  • Monitor shipment status and update stakeholders on shipment progress and expected delivery dates.
  • Conduct periodic audits of export documentation to ensure accuracy and compliance.
  • Train and support junior staff members on proper documentation processes and regulatory compliance.

Requirements

  • Bachelor’s degree in international business, logistics, or related field is preferred.
  • Minimum of 2 years experience in export documentation or a similar role is required.
  • Proficient knowledge of international trade laws and export documentation requirements.
  • Strong organizational skills with an ability to manage multiple shipments simultaneously.
  • Excellent communication skills to liaise effectively with clients and regulatory bodies.
  • Proficiency in Microsoft Office Suite and export documentation software is highly desirable.
  • Attention to detail with a commitment to ensure compliance with industry standards.
  • Ability to work under pressure and meet deadlines in a fast-paced environment.
