Job Description

An Export Documentation Executive plays a critical role in ensuring the smooth exportation of goods across international borders. This position requires a keen eye for detail, as it involves the preparation, review, and management of all necessary documentation required to facilitate exports. The Export Documentation Executive collaborates closely with different departments such as sales, logistics, and finance, to ensure compliance with international shipping regulations and standards. This role demands strong organizational skills, the ability to handle multiple tasks efficiently, and excellent communication abilities to liaise with internal teams, freight forwarders, and customs officials. By ensuring all export documents are accurately prepared, timely submitted, and appropriately filed, the Export Documentation Executive ensures a seamless export process, mitigating risks related to delays or legal non-compliance.


Responsibilities

  • Prepare and verify all required export documentation for accuracy and compliance.
  • Coordinate with shipping companies to schedule timely dispatch of shipments.
  • Liaise with internal departments to ensure smooth and efficient export operations.
  • Maintain updated knowledge of international shipping regulations and policies.
  • Ensure documentation is submitted to the relevant authorities on time.
  • Track shipment status and provide updates to the relevant stakeholders.
  • Resolve any issues that arise during the export documentation process.
  • Collate and properly file all documents once shipments have been dispatched.
  • Monitor and manage the cost of freight, ensuring cost-effectiveness.
  • Assist in preparing reports related to export and shipment activities.
  • Coordinate with customs brokers to ensure smooth clearance of shipments.
  • Ensure compliance with all legal, government, and company regulations and guidelines.

Requirements

  • Bachelor's degree in Business Administration, Logistics, or a related field.
  • Proven experience in export documentation or related field is advantageous.
  • Strong understanding of international shipping regulations and documentation.
  • Excellent communication and interpersonal skills for effective collaboration.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Excellent organizational skills with attention to detail and accuracy.
  • Ability to work under pressure to meet tight deadlines and priorities.
