Job Description

The role of an Export Documentation Executive is pivotal in ensuring that all international shipments adhere to local and international laws and regulations. This position requires a keen eye for detail and a strong understanding of export logistics. As an Export Documentation Executive, you will be responsible for preparing and processing documentation related to the international shipment of goods. This includes ensuring accuracy in the documentation to prevent any delays in shipping and compliance with all relevant government laws and regulations. The role is perfect for someone who has strong organizational skills, is able to multitask, and has excellent communication abilities. You will work closely with various teams, including logistics, sales, and finance, to ensure that all payment and shipping documentation is accurate and complete.


Responsibilities

  • Prepare accurate and compliant export documentation for all international shipments.
  • Coordinate with logistics and shipping departments to ensure timely deliveries.
  • Act as a liaison between the company, customers, and freight forwarders.
  • Verify accuracy of shipment documentation, including invoices and packing lists.
  • Ensure compliance with all local, regional, and international regulations.
  • Maintain records of all export transactions in the company database.
  • Assist in resolving any issues related to shipment delays or customs inspections.
  • Monitor changes in export regulations and apply necessary operational updates.
  • Provide training and guidance to junior staff on export documentation processes.
  • Collaborate with finance department to ensure all export-related payments are processed.
  • Analyze export procedures and suggest improvements for efficiency and effectiveness.
  • Coordinate with regulatory bodies to ensure legal export operations.

Requirements

  • Bachelor’s degree in business administration, international trade, or related field.
  • Minimum of 2 years of experience in export documentation or similar role.
  • Strong understanding of international trade laws and shipping terms.
  • Proficient in using export-specific software and Microsoft Office Suite.
  • Excellent communication and organizational skills to manage multiple tasks.
  • Ability to work under pressure and meet strict deadlines effectively.
  • Attention to detail to ensure accuracy in all export documentation.
