Job Description

The Document Controller (Ref: 02M26) plays a critical role in managing, maintaining, and overseeing the integrity of documents related to projects, departments, or the organization as a whole. This position requires meticulous attention to detail to ensure all documents are stored and reported correctly, adhering to the policies and standards established by the organization. The ideal candidate will possess strong organizational skills, proficiency in document management software, and will be responsible for ensuring compliance with data protection regulations. This role is pivotal in facilitating smooth communication and information management amongst diverse teams and departments, ensuring the latest documents and revisions are appropriately documented, archived, and readily accessible for auditing and operational needs.


Responsibilities

  • Maintain an organized system for document management and retrieval across the organization.
  • Oversee document control processes to ensure compliance with company policies.
  • Implement revisions and changes to documents in a timely and accurate manner.
  • Collaborate with various departments to collect, review, and disseminate documents.
  • Ensure all documents are reviewed and approved by authorized personnel before distribution.
  • Conduct regular audits to guarantee document compliance and accuracy in the system.
  • Train staff on document control processes and document management tools usage.
  • Respond to internal and external document requests efficiently and accurately.
  • Keep a record of document histories, tracking changes and communication logs.
  • Ensure timely processing and filing of documents in both physical and digital formats.
  • Provide support in drafting and reviewing document templates as needed by teams.
  • Assist in setting up and updating the document management system as required.

Requirements

  • Bachelor’s degree in Business Administration, Information Management, or a related field.
  • A minimum of 2 years of experience in a document control or records management role.
  • Strong proficiency in document management software and Microsoft Office Suite.
  • Excellent organizational skills and a high degree of attention to detail.
  • Familiarity with legal and regulatory requirements for document management.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong communication skills and the ability to work collaboratively with teams.
