The role of an Accounts & Purchase Assistant (05N25) is pivotal within any organization that relies on effective financial and procurement operations. As an integral part of both the finance and purchasing departments, the holder of this position is responsible for assisting in managing the company’s financial accounts and supporting purchasing operations to ensure seamless supply chain activities. The Accounts & Purchase Assistant will work under the direction of the Accounts and Purchase Managers to process financial transactions, maintain accurate accounting records, and support the purchasing process to ensure an efficient flow of goods and services. This position requires someone who is detail-oriented, has excellent analytical skills, and possesses a good understanding of accounting software and purchasing systems. There is an emphasis on maintaining supplier relationships, ensuring financial compliance, and optimizing cost-efficiency to help drive the company’s financial performance.


Responsibilities

  • Assist in the preparation of financial statements and balance sheets on a monthly basis.
  • Process accounts payable and receivable, ensuring accurate financial records are maintained.
  • Manage supplier invoices and reconcile them with purchase orders and receipts.
  • Support the purchasing department in acquiring goods and services efficiently and cost-effectively.
  • Maintain up-to-date records of bank transactions and monitor cash flow statements regularly.
  • Assist in conducting market research to identify pricing trends and supplier options.
  • Coordinate with vendors to confirm order specifications, delivery timelines, and best payment terms.
  • Generate and analyze monthly and quarterly financial reports for management review.
  • Ensure compliance with all financial regulations and purchasing policies consistently.
  • Provide administrative support to the Accounts and Purchasing Manager as needed.
  • Liaise between departments to integrate purchasing and accounts workflow efficiently.
  • Participate in financial audits and help resolve discrepancies in account records promptly.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Prior experience in an accounts or purchasing role, preferably within a similar industry.
  • Proficiency in accounting software and Microsoft Office Suite, especially Excel.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills to effectively collaborate with vendors and colleagues.
  • Detail-oriented mindset with strong analytical and problem-solving abilities.
  • Ability to work independently while supporting team objectives and fostering collaboration.
