Job Description

An Office Administrator plays a crucial role in ensuring the smooth running of daily operations within an organization. Responsibilities

  • Oversee daily office operations to ensure efficiency and productivity.
  • Maintain office supplies inventory by anticipating needs and placing orders.
  • Coordinate office services like cleaning, maintenance, and other facilities-related tasks.
  • Serve as a point of contact for internal and external clients and customers.
  • Organize and schedule meetings, appointments, and travel arrangements for staff members.
  • Maintain and update office filing systems, both physical and electronic formats.
  • Assist in the preparation of presentations, reports, and other correspondence as needed.
  • Ensure compliance with organizational policies and protocols in all administrative functions.
  • Support the HR department with recruitment, onboarding, and administrative tasks.
  • Conduct regular meetings to update staff on new processes or administrative changes.
  • Collate and forward timesheets to payroll for employee compensation processing.
  • Facilitate the coordination of administrative support across various departments.

Requirements

  • High school diploma or equivalent educational certification is required.
  • Prior experience in an administrative or office management role is essential.
  • Proficient in using Microsoft Office Suite and other relevant software applications.
  • Strong organizational and multitasking skills with keen attention to detail.
  • Excellent communication skills, both verbal and written, are mandatory.
  • Ability to maintain confidentiality and manage sensitive information appropriately.
  • Demonstrated capability to manage time effectively and prioritize tasks independently.
