Job Description

As a Front Desk Receptionist, you will be the first point of contact for our organization, providing exceptional customer service and administrative support. This role is crucial in setting the tone for our company, as you will handle various front-office activities, including greeting visitors, answering phones, and performing clerical tasks. The ideal candidate is highly organized, possesses excellent communication skills, and has the ability to multitask in a fast-paced environment. Your main goal is to ensure our front desk provides professional and friendly service to our clients and visitors, while also aiding in smooth operations within the office. Responsibilities

  • Greet visitors warmly and direct them to the appropriate person or department.
  • Answer, screen, and forward incoming phone calls in a professional manner.
  • Maintain a tidy and presentable front desk and reception area at all times.
  • Receive, sort, and distribute daily mail and deliveries promptly.
  • Provide basic and accurate information in-person and via phone/email.
  • Use and manage office management software to schedule meetings and appointments.
  • Ensure compliance with security procedures by monitoring logbooks and issuing visitor badges.
  • Assist in preparing meeting and conference rooms for scheduled events.
  • Assist in promoting office safety and security practices amongst visitors and staff.
  • Keep track of office supplies inventory and place orders when necessary.
  • Support administrative tasks as needed in coordination with other departments.
  • Contribute to team effort by accomplishing related tasks as needed.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency with office management software, like MS Office (Word, Excel, Outlook).
  • Solid written and verbal communication skills in English.
  • Ability to be resourceful and proactive when issues arise in the workplace.
  • Excellent organizational skills and attention to detail are a must.
  • Multitasking and time-management skills, with the ability to prioritize tasks effectively.
  • High school diploma; additional certification in Office Management is a plus.
