Job Description

An Accounts Payable Officer is a crucial member of the finance department who manages and maintains records of all payments and expenditure, including payroll, purchase orders, invoices, and statements. This role requires a keen eye for detail, strong organizational skills, and a thorough understanding of accounting principles to ensure that the company’s accounts are accurate and up-to-date. The Accounts Payable Officer will work closely with the finance team to improve payment processes and help maintain financial health within the organization. This position not only involves data entry and coding invoices but also requires communication with vendors and department heads to resolve any discrepancies and streamline payment procedures.


Responsibilities

  • Process accounts and incoming payments in compliance with financial policies.
  • Perform day-to-day financial transactions, including verifying, classifying, and recording accounts payable data.
  • Reconcile the accounts payable ledger to ensure all bills and payments are accounted for and properly posted.
  • Verify discrepancies by and resolve supplier invoice related issues promptly.
  • Generate reports detailing accounts payables status and outstanding balances.
  • Ensure timely bank payments by scheduling, processing transfers, and checks.
  • Maintain precise records and documentation for all transactions related to accounts payable.
  • Collaborate with internal departments to address accounts payable-related queries and support finance team activities.
  • Monitor and manage accounts payable aging reports to prevent overdue accounts.
  • Assist in monthly closure of financial records and posting of month-end information.
  • Support the financial department with monthly and annual audits.
  • Stay updated with trends and best practices in accounting and finance operations.

Requirements

  • Bachelor’s degree in Accounting, Finance, or a related discipline required.
  • Proven experience as an accounts payable officer or related financial function.
  • Strong understanding of basic bookkeeping and accounting payable principles.
  • Proficiency in Microsoft Office Suite; advanced skills in Excel are desirable.
  • Familiarity with accounting software packages and databases is essential.
  • Excellent organizational skills and attention to detail in managing documentation.
  • Strong communication skills for collaborative engagement with various stakeholders.
