Job Description

The role of a Receptionist is pivotal in setting the first impression for any organization. The primary responsibility of a Receptionist is to manage the front desk, acting as the face and voice of the company. A professional appearance, excellent communication skills, and a warm and approachable demeanor are essential attributes for this role. As a Receptionist, you will be responsible for greeting clients and visitors, answering and managing incoming calls, handling inquiries, and performing a variety of administrative tasks. This role requires someone who is highly organized, customer-focused, and adept at managing various tasks simultaneously. The ideal candidate will be proactive, with the ability to work autonomously and under pressure, while still maintaining a high level of service. Responsibilities

  • Greet all visitors and clients in a professional and welcoming manner.
  • Answer, screen, and forward incoming phone calls efficiently and courteously.
  • Maintain the reception area, ensuring it is neat and organized at all times.
  • Provide basic and accurate information in person and via phone or email.
  • Receive, sort, and distribute daily mail and deliveries to appropriate departments.
  • Coordinate and schedule appointments and meetings for staff members as required.
  • Assist with administrative tasks such as data entry, filing, and photocopying.
  • Monitor office supplies and place orders when necessary to ensure availability.
  • Handle administrative projects, reports, and tasks set by management efficiently.
  • Ensure compliance with company security protocols for visitors and employees.
  • Facilitate communication between departments to enhance overall efficiency.
  • Assist in organizing company events and employee activities as needed.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Highly organized, with excellent time management and multitasking abilities.
  • Strong verbal and written communication skills for effective interaction.
  • Ability to be resourceful and proactive when issues arise during daily duties.
  • A customer service orientation with a desire to ensure satisfaction at all times.
  • High school diploma; additional certification in Office Management is a plus.
