Job Description

We are seeking a friendly and organized Receptionist to join our team. The ideal candidate will be the first point of contact for the company and will provide administrative support across the organization. This person will handle the flow of people through the business and ensure that all reception-related responsibilities are completed accurately and delivered with high-quality and in a timely manner. The successful candidate will have a positive attitude and excellent communication skills, both verbal and written. This role requires a proactive approach to manage front desk activities and an ability to prioritize tasks in a fast-paced environment.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office within the organization.
  • Answer, screen, and forward incoming phone calls promptly and professionally.
  • Ensure reception area is tidy and presentable, with all necessary stationery and materials.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Update calendars and schedule meetings for staff members when required.
  • Arrange travel and accommodations, and prepare vouchers as directed by management.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Assist with administrative tasks and contribute to team projects as needed.
  • Monitor and maintain office equipment, ensuring it is always in good working condition.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative or similar role.
  • Professional attitude and appearance, with excellent interpersonal skills required.
  • Proficiency in Microsoft Office Suite and Google Workspace desired.
  • Hands-on experience with office equipment such as printers and fax machines.
  • Strong written and verbal communication skills essential for the role.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Excellent organizational skills and ability to multitask within a fast-paced environment.
  • High school degree; additional certification in Office Management is a plus.
