Job Description

We are seeking a personable, organized, and detail-oriented Receptionist to join our team. As the first point of contact for our office, you will be responsible for providing a welcoming environment for all visitors and callers. The ideal candidate is proactive in managing multiple tasks with professionalism and efficiency, ensuring smooth operations at the front desk. You will play a key role in maintaining an organized office environment while assisting with various administrative tasks. Excellent communication skills and a friendly demeanor are crucial for success in this role. Responsibilities

  • Greet and welcome visitors in a warm and professional manner upon arrival.
  • Answer, screen, and direct incoming phone calls promptly and efficiently.
  • Manage the visitor logbook and assist with signing in and out.
  • Schedule and manage appointments and meetings for staff as needed.
  • Maintain a tidy and presentable reception area at all times.
  • Assist with clerical tasks such as filing, photocopying, and faxing documents.
  • Handle incoming and outgoing mail and packages, coordinating with delivery personnel.
  • Provide basic and accurate information in-person and via phone/email.
  • Monitor office supplies inventory and place orders when necessary to ensure stock.
  • Coordinate with office management to ensure operational efficiency.
  • Liaise with building management in case of maintenance or facility issues.
  • Perform various administrative tasks to support the office team as requested.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, especially Word and Excel applications.
  • Solid written and verbal communication skills with a customer-centric approach.
  • Hands-on experience with office equipment such as fax machines and printers.
  • Ability to be resourceful and proactive when issues arise, using good judgment.
  • Excellent organizational skills, multitasking abilities, and attention to detail.
  • High school diploma; additional qualifications in office administration are an asset.
