Job Description

The Receptionist for 20N25 plays a crucial role in making a positive first impression on clients, visitors, and colleagues. As the first point of contact, the Receptionist is responsible for providing exceptional customer service by answering inquiries efficiently, handling phone calls professionally, and facilitating an organized and welcoming reception area. This position requires an individual with excellent communication skills, a keen attention to detail, and the ability to manage multiple tasks simultaneously. The successful candidate will demonstrate a proactive approach in assisting with administrative tasks, supporting the office staff, and ensuring the smooth operation of daily activities in the office. Responsibilities

  • Greet and welcome visitors warmly, ensuring a positive first impression.
  • Answer and direct phone calls in a professional and courteous manner.
  • Manage the scheduling of appointments and maintain the office calendar.
  • Sort and distribute incoming mail, packages, and correspondences promptly.
  • Assist in the preparation of meetings and office events as needed.
  • Maintain a clean, organized reception area and manage hospitality supplies.
  • Provide general administrative support to various departments as required.
  • Maintain security by following company procedures and controlling access.
  • Update and maintain internal contact lists and databases regularly.
  • Handle basic inquiries and provide information about the company's services.
  • Coordinate deliveries and manage office supply inventory efficiently.
  • Perform additional duties as assigned by management to ensure smooth operations.

Requirements

  • Proven work experience as a Receptionist or similar customer service role.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Proficiency in Microsoft Office Suite and reception management software.
  • Professional attitude and appearance with a customer service focus.
  • Ability to handle sensitive information with discretion and confidentiality.
  • High school diploma or equivalent; additional certifications are a plus.
