Responsibilities

  • Greet and welcome visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office location.
  • Answer, screen, and forward incoming phone calls promptly and professionally.
  • Ensure reception area is tidy and presentable, with all necessary stationery supplies.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Schedule appointments and maintain event calendars for conference rooms.
  • Assist with basic administrative tasks like photocopying, faxing, and mailing documents.
  • Coordinate with facility management staff on repairs, cleaning, and other office operations.
  • Update calendars and schedule meetings efficiently and accurately for staff members.
  • Provide basic and accurate information in-person and via phone/email.
  • Ensure availability of office supplies and order new stock when necessary.

Requirements

  • High school diploma or equivalent required; additional certification is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Hands-on experience with office equipment such as printers and fax machines.
  • Professional attitude and appearance with exceptional customer service skills.
  • Solid written and verbal communication skills necessary for effective interaction.
  • Ability to be resourceful and proactive when issues arise, ensuring quick resolution.
  • Excellent organizational skills and the ability to multitask efficiently under pressure.
  • Diplomatic and respectful approach to handling sensitive and confidential information.
