The Receptionist plays a crucial role as the first point of contact for clients, visitors, and employees while ensuring that the front office operates smoothly. In this role, the Receptionist is responsible for providing excellent customer service, handling inquiries, directing guests, and performing administrative duties that support daily office functions. Responsibilities

  • Greet and welcome visitors with a friendly and professional demeanor.
  • Answer, screen, and forward incoming phone calls efficiently and courteously.
  • Maintain the reception area tidy and presentable, with all necessary materials.
  • Provide basic and accurate information in person and via phone/email.
  • Manage appointment bookings and scheduling for conference rooms.
  • Handle incoming and outgoing mail, packages, and deliveries efficiently.
  • Coordinate with office staff to ensure smooth and efficient front-office operations.
  • Maintain and update records of employees and office visitors as needed.
  • Assist with various administrative tasks including photocopying, faxing, and filing documents.
  • Prepare and distribute correspondence, memos, and forms as required.
  • Respond to inquiries and provide excellent customer service to all clients.
  • Perform other clerical duties as needed to support office operations.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Strong organizational skills with the ability to multitask effectively.
  • Excellent written and verbal communication skills are essential for this role.
  • A professional appearance and polite phone manner are required.
  • Ability to be resourceful and proactive when issues arise promptly.
  • Familiarity with office machines (e.g., printers, fax machines, etc.).
  • Customer service attitude with the ability to remain calm under pressure.
  • Good time management skills to handle multiple tasks efficiently.
