Job Description

We are seeking a dedicated and personable Receptionist to join our team and serve as the first point of contact for visitors and clients. The ideal candidate will have a warm personality and a keen ability to maintain a professional environment in a fast-paced setting. As a Receptionist, you will be the face of our company, providing an excellent first impression to our visitors. You will manage both incoming and outgoing communication, coordinate front-desk activities, and support various administrative tasks to ensure the smooth operation of our office. Responsibilities

  • Greet visitors warmly and make them feel welcome and comfortable.
  • Answer, screen, and forward incoming phone calls professionally and promptly.
  • Manage the front desk operations and ensure the area is tidy and presentable.
  • Provide accurate information in-person and via phone/email to clients and colleagues.
  • Coordinate scheduling of meetings, appointments, and conference room reservations.
  • Receive and sort daily mail, deliveries, and couriers efficiently and accurately.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Handle basic clerical duties such as filing, photocopying, and data entry as needed.
  • Assist with administrative tasks and support other departments as required.
  • Track office supply inventory and place orders to maintain stock levels.
  • Prepare and coordinate outgoing mail or packages with couriers and postal services.
  • Respond to inquiries and resolve any reception-related issues or complaints diplomatically.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and general office equipment familiarity.
  • Professional attitude and appearance with a strong customer service focus.
  • Excellent verbal and written communication skills for effective interaction.
  • Ability to organize, multitask, prioritize, and work under pressure effectively.
  • High school diploma or equivalent; additional certification is a plus.
  • Strong attention to detail, reliability, and the ability to maintain confidentiality.
