Job Description

The Receptionist position within our organization offers a dynamic and fast-paced environment where you will be the first point of contact for all incoming visitors and calls. As a Receptionist, you will play a pivotal role in managing the company's front desk and providing administrative support across the organization. You are expected to maintain a high level of professionalism and exhibit excellent communication skills in handling a wide range of customer inquiries. This position demands a friendly demeanor, strong organizational skills, and the ability to multitask effectively. You will ensure the smooth and efficient operation of the front office, contributing to a positive atmosphere for employees and guests alike.


Responsibilities

  • Greet and welcome visitors and clients with a positive and helpful attitude.
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Maintain and organize the reception area, ensuring it is tidy and presentable.
  • Manage the booking of meeting rooms and set up conference calls as required.
  • Assist with the sorting and distribution of incoming mail and packages.
  • Coordinate with internal staff regarding visitor check-ins and meetings.
  • Provide basic and accurate information in person and via phone/email.
  • Perform administrative tasks such as data entry, filing, and scheduling appointments.
  • Keep updated records of office expenses and costs for budget management.
  • Support colleagues with various administrative tasks as needed and requested.
  • Monitor and manage office supplies inventory, placing orders as necessary.
  • Ensure compliance with security procedures, maintaining confidentiality at all times.

Requirements

  • High School diploma or equivalent educational qualifications are essential.
  • Proven work experience as a Receptionist or similar customer service role.
  • Professional attitude and appearance, with strong interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Excellent verbal and written communication skills are mandatory.
  • Ability to be resourceful, proactive, and efficient when issues arise.
  • Multitasking abilities and time-management skills with a focus on accuracy and detail.
