Job Description

The Receptionist 10J26 is an integral part of the organization's front-line operations, responsible for creating a welcoming and professional atmosphere for visitors and clients. As the first point of contact, the receptionist plays a crucial role in representing the company and ensures that both in-person and telephone inquiries are handled efficiently and courteously. Alongside managing the front desk activities, the role involves a variety of administrative tasks that support the smooth operation of the office. Responsibilities

  • Greet visitors warmly, managing a positive first impression for the organization.
  • Answer, screen, and direct incoming calls promptly and courteously.
  • Manage and distribute incoming mail and organize outgoing mail daily.
  • Schedule appointments and maintain the receptionist calendar efficiently.
  • Assist with administrative tasks such as filing, photocopying, and data entry tasks.
  • Maintain the reception area, ensuring it remains tidy and presentable at all times.
  • Coordinate with facility management to address safety, cleanliness, and repair needs.
  • Handle inquiries and provide accurate information regarding the company’s services.
  • Maintain and update visitor and client logs to ensure secure access to premises.
  • Assist in preparing meeting rooms and catering needs for internal conferences.
  • Order and maintain inventory of office supplies and equipment as needed.
  • Support other staff with administrative tasks and projects on an ad-hoc basis.

Requirements

  • Previous experience in a receptionist or customer service role is preferred.
  • Excellent verbal and written communication skills are essential for this role.
  • Strong organizational skills with the ability to multitask effectively.
  • Proficiency in using office software, including MS Office Suite applications.
  • Professional demeanor with a focus on customer service and attention to detail.
  • Ability to operate office equipment such as copiers, fax machines, and telephones.
  • High school diploma or equivalent qualification is required for applicants.
