Job Description

As a Receptionist, you will be the first point of contact for our organization, ensuring a warm and friendly greeting for all visitors. Your role is integral in creating a positive first impression and providing exceptional customer service. You will manage a range of administrative tasks, including handling correspondence and coordinating communication within the company. Attention to detail and excellent communication skills are essential, as you will need to balance multiple duties with a smile. Responsibilities

  • Greet visitors warmly and direct them to the appropriate person or department.
  • Manage incoming calls, emails, and correspondence with professional courtesy.
  • Maintain the reception area in a tidy and organized manner at all times.
  • Assist with scheduling appointments and coordinating meetings for staff members.
  • Handle basic administrative tasks such as filing, photocopying, and data entry daily.
  • Notify staff of visitor arrivals through the appropriate communication channels.
  • Maintain security protocols by registering visitor information in the logbook.
  • Address visitor inquiries and offer information about the organization as needed.
  • Provide backup support to administrative teams during peak times or absences.
  • Order and maintain inventory of office supplies for the reception and other areas.
  • Coordinate incoming and outgoing mail delivery, ensuring timely distribution.
  • Support administrative projects and assume additional duties as required by management.

Requirements

  • Proven work experience as a receptionist or in a similar front-desk role.
  • Excellent verbal and written communication skills are required to interact effectively.
  • Strong organizational abilities to manage multiple tasks efficiently under pressure.
  • Knowledge of office management systems and basic clerical procedures is essential.
  • Proficiency in office software such as MS Office Suite and email applications.
  • Customer service-oriented with a friendly and approachable demeanor at all times.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
