Job Description

As a Personal Secretary, you will play a crucial role in managing the day-to-day activities of executives or managers. This position demands a high level of organization, excellent communication skills, and the ability to handle confidential information with discretion. You will be tasked with ensuring the efficient operation of the office, coordinating meetings and appointments, and managing correspondence. This role requires a proactive approach, attention to detail, and the ability to work independently. As a personal secretary, you will be expected to prioritize tasks effectively, manage schedules and calendars, and provide administrative support in a professional manner. Your contribution will support the executive in achieving business goals and maintaining productivity.


Responsibilities

  • Coordinate and schedule meetings, appointments, and travel arrangements for executives.
  • Manage and organize executives' calendars, prioritizing and resolving scheduling conflicts.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming calls, emails, and other forms of communication promptly and efficiently.
  • Maintain confidentiality of sensitive and personal information at all times.
  • Conduct research, compile data, and prepare reports and presentations as needed.
  • Assist in managing projects and coordinate with other departments as required.
  • Order and maintain office supplies to ensure organizational efficiency.
  • Welcome and assist guests and clients with professionalism and courtesy.
  • Monitor and handle day-to-day administrative and clerical tasks competently.
  • Support the executives in a proactive and resourceful manner when required.
  • Develop and implement new procedures to improve efficiency and effectiveness.

Requirements

  • High school diploma or equivalent is required; further education is preferred.
  • Proven experience as a personal secretary or administrative assistant.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational and time-management skills with attention to detail.
  • Proficiency in using office software like MS Office, Excel, and scheduling tools.
  • Ability to multitask and prioritize tasks effectively under pressure.
  • Discretion and confidentiality when handling sensitive information are vital.
