Job Description

A Personal Secretary plays a crucial role in organizing, managing, and ensuring the smooth operation of an executive’s office and daily schedule. The ideal candidate for this role will possess exceptional organizational skills, attention to detail, and a high level of confidentiality. As a Personal Secretary, you will be responsible for managing communication, calendars, travel arrangements, and various administrative tasks to support the executive in a fast-paced environment. In addition to handling communication and schedules, the role demands someone who can anticipate the executive’s needs, handle sensitive information with utmost confidentiality, and demonstrate adaptability and professionalism. An effective Personal Secretary will also build strong relationships with both internal and external stakeholders, contributing to a seamless workflow and helping meet strategic goals of the organization.


Responsibilities

  • Manage and organize the executive's calendar, appointments, and scheduling efficiently and meticulously.
  • Handle incoming and outgoing communications, demonstrating discretion and professionalism at all times.
  • Conduct research and prepare reports, presentations, and documents as required by the executive.
  • Coordinate domestic and international travel arrangements, including itineraries, visas, and accommodations.
  • Act as a liaison between the executive and internal/external stakeholders to facilitate communication.
  • Assist with the planning and execution of meetings, conferences, and events as needed.
  • Maintain office systems and processes to ensure efficiency and effectiveness in support tasks.
  • Perform administrative duties, including filing, invoicing, and processing correspondence as required.
  • Manage and update contact databases, ensuring all information is current and accurate.
  • Monitor and order office supplies to ensure the office is well-equipped at all times.
  • Handle sensitive information and maintain confidentiality in all professional interactions.
  • Assist the executive with personal tasks and errands as needed to support their daily schedule.

Requirements

  • Proven experience as a Personal Secretary or similar administrative role is required.
  • Exceptional organizational and time management skills, with the ability to multitask effectively.
  • Excellent communication skills, both written and verbal, are essential for this role.
  • High level of confidentiality and discretion is required in handling sensitive information.
  • Proficiency in Microsoft Office Suite and other office management software is necessary.
  • Strong problem-solving skills with the ability to anticipate needs and act proactively.
  • Ability to work independently, as well as collaboratively in a team-oriented environment.
