Job Description

We are seeking a highly organized and dedicated Personal Assistant (PA) to support our executive team. As a Personal Assistant, you will play a crucial role in helping to streamline our leaders' demanding schedules, ensuring efficient day-to-day operations, and managing various administrative tasks. You should be proactive, adaptable, and able to work under pressure while maintaining the highest level of confidentiality. The ideal candidate will have excellent communication skills, an eye for detail, and a strong ability to prioritize tasks. You will be the main point of contact for internal and external partners, representing the executive in professional and social settings. Responsibilities

  • Manage and maintain executives’ schedules, including scheduling appointments and meetings.
  • Coordinate travel arrangements and prepare itineraries for business trips and conferences.
  • Handle incoming communications and correspondence, prioritizing critical messages.
  • Prepare reports, presentations, and briefing materials for meetings and projects.
  • Organize and maintain filing systems for sensitive documents and records.
  • Perform general office duties, such as ordering supplies and managing office equipment.
  • Act as the point of contact between executives and internal/external clients.
  • Support in the preparation of corporate communications and documentation.
  • Assist in event planning and execution of company functions and occasions.
  • Conduct research and compile data as requested by executives.
  • Monitor the budget and expenses, providing financial updates and reports.
  • Ensure timely follow-up on pending tasks and projects delegated by executives.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience as a Personal Assistant or in a similar role.
  • Strong proficiency with Microsoft Office Suite and office management software.
  • Excellent time management skills and ability to multitask effectively.
  • Exceptional written and verbal communication skills required.
  • Ability to maintain confidentiality and exercise discretion with sensitive issues.
  • Professional appearance and demeanor, with strong interpersonal skills.
