Job Description

The role of an Operations Assistant is central to the smooth and efficient functioning of an organization's day-to-day activities. This position involves supporting the operations team by managing administrative tasks, coordinating schedules, and ensuring that all procedures run without continual oversight. The Operations Assistant plays a vital role in maintaining communication between departments, facilitating the processing of information, and ensuring that company policies are adhered to. They are often responsible for handling queries, preparing operational reports, and working on any special projects as assigned. This position requires a keen eye for detail, exceptional organizational skills, and the ability to work collaboratively within a team environment. As an Operations Assistant, you will be the backbone that supports various aspects of day-to-day operations, helping the organization achieve its strategic objectives effectively.


Responsibilities

  • Coordinate day-to-day operations and logistics to ensure efficiency and productivity.
  • Assist in the preparation and maintenance of operational documents and reports.
  • Manage scheduling, calendar planning and appointments for operations management.
  • Facilitate communication between departments to support operational activities.
  • Provide administrative support, including data entry and record keeping tasks.
  • Assist in the development and implementation of operational processes and procedures.
  • Handle inquiries and correspondence related to operational activities promptly.
  • Monitor and order office supplies to ensure adequate inventory levels are maintained.
  • Respond to internal and external customer inquiries with accurate information.
  • Support project management tasks and assist with operational planning initiatives.
  • Collaborate with team members to achieve department objectives and company goals.
  • Conduct data analysis to support operational decision-making and improvements.

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Proven experience in an administrative or operational role within a corporate environment.
  • Excellent communication and interpersonal skills to facilitate team collaboration.
  • Proficient in Microsoft Office Suite and other relevant software applications.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Detail-oriented with strong problem-solving skills and analytical capabilities.
  • Ability to work independently and as part of a team to meet deadlines.
