Responsibilities

  • Schedule and coordinate meetings, appointments, and travel arrangements for managers.
  • Maintain organized digital and physical filing systems for efficient data retrieval.
  • Handle incoming and outgoing correspondence, including emails, mail, and phone calls.
  • Oversee procurement and inventory of office supplies and equipment.
  • Support human resources functions, including staff onboarding and record maintenance.
  • Coordinate with vendors and service providers for office maintenance and supplies.
  • Prepare reports, presentations, and other documents as required by management.
  • Ensure office compliance with company policies and health and safety regulations.
  • Assist in bookkeeping tasks, including invoice processing and expense tracking.
  • Manage reception duties, welcoming visitors and directing them accordingly.
  • Facilitate effective communication within the office and among departments.

Requirements

  • Proven experience as an Office Administrator, office assistant, or relevant role.
  • Exceptional organizational and multitasking abilities under tight deadlines.
  • Proficiency in Microsoft Office Suite and office management software.
  • Strong communication skills, both verbal and written, are essential.
  • Ability to maintain confidentiality and exercise discretion in office dealings.
  • High school diploma or equivalent; additional qualifications are advantageous.
  • Familiarity with office equipment, procedures, and basic bookkeeping principles.
