Job Description

The ISO Documentation Specialist plays a crucial role in maintaining and ensuring the integrity of an organization's quality management system according to ISO standards. This position requires a keen eye for detail, a comprehensive understanding of quality management principles, and the ability to communicate and document complex information clearly. The specialist will be responsible for developing, implementing, and improving document control systems within an organization to ensure compliance with ISO standards. They will work closely with various departments to collect, organize, and review key documents, and maintain a repository of such documents for training or auditing purposes. An ideal candidate will have experience with document management software, understand the principles of process improvement, and possess the ability to train others on proper documentation procedures. This role is instrumental in supporting organizational objectives by ensuring that all documentation is accessible, accurate, and complies with applicable regulations and standards.


Responsibilities

  • Develop and implement documentation control systems in line with ISO standards.
  • Collaborate with departments to identify and document key processes and procedures.
  • Conduct regular reviews and audits of documentation to ensure compliance and accuracy.
  • Maintain a central repository for ISO-related documents and records for easy access.
  • Assist in preparing documentation for ISO certification and re-certification audits.
  • Identify areas for process improvement and suggest innovative documentation solutions.
  • Train staff on ISO documentation procedures and use of document management software.
  • Ensure all documentation is kept current and properly formatted according to standards.
  • Generate reports and updates for management regarding documentation statuses and needs.
  • Provide technical support for the development of manuals, guides, and standard operating procedures.
  • Assist in risk assessment activities related to quality management and documentation.
  • Liaise with external auditors and stakeholders during audits and ISO evaluations.

Requirements

  • Bachelor’s degree in quality management, business administration, or a related field.
  • Proven experience in document control or quality assurance environments.
  • Strong understanding and knowledge of ISO 9001:2015 and related standards.
  • Excellent organizational and time management skills for handling multiple tasks.
  • Proficiency in document management software and Microsoft Office Suite.
  • Strong attention to detail and ability to uphold strict documentation integrity.
  • Excellent communication skills for liaising with diverse teams and stakeholders.
  • Experience conducting training sessions on documentation systems is preferred.
  • Capacity to work independently and collaboratively in cross-functional teams.
