The Front Office Associate plays a crucial role in creating a welcoming and professional environment for visitors, clients, and employees. As the initial point of contact, the associate is responsible for handling reception duties, managing communication, and ensuring smooth operations within the front office. Responsibilities

  • Greet and direct visitors, clients, and staff with a professional demeanor.
  • Answer incoming calls, manage inquiries, and direct calls to appropriate staff efficiently.
  • Maintain an organized and presentable reception area for visitors and staff.
  • Coordinate and schedule meetings, appointments, and manage conference room bookings.
  • Assist with administrative tasks, including filing, data entry, and mail distribution.
  • Maintain security protocols by monitoring visitor access and issuing visitor badges.
  • Ensure timely and effective communication between front office and other departments.
  • Manage and update front office directories and maintain accurate records as required.
  • Operate office equipment, such as a switchboard, copier, and digital databases.
  • Handle basic inquiries and complaints in a courteous and efficient manner.
  • Coordinate and assist with the setup of events, meetings, or office functions.
  • Support management with special projects, reports, or tasks as assigned.

Requirements

  • High school diploma or equivalent; further education is advantageous.
  • Proven experience in a front desk or customer service role preferred.
  • Excellent verbal and written communication skills for effective interaction.
  • Strong organizational skills and the ability to multitask under pressure.
  • Proficiency in using office software, including Microsoft Office Suite applications.
  • A courteous and professional appearance with a focus on customer service.
  • Ability to work independently and as part of a collaborative team environment.
  • Attention to detail and proactive approach to resolving issues promptly.
  • Flexibility in adapting to changing schedules and conditions if necessary.
