The Front Office Associate is a vital part of any organization, often serving as the first point of contact for clients, visitors, and team members. Responsibilities

  • Manage incoming and outgoing mail and packages efficiently and accurately.
  • Maintain and update the front office systems and processes for smooth operations.
  • Coordinate with the housekeeping team to ensure the reception area is clean and organized.
  • Handle inquiries and provide accurate information to clients and visitors promptly.
  • Schedule appointments and meetings for office staff as required.
  • Assist with administrative tasks including filing, data entry, and document management.
  • Monitor office supplies and maintain inventory, placing orders as needed.
  • Work closely with management to enhance front office procedures and efficiency.
  • Oversee security access for visitors, issuing badges, and monitoring guest logs.
  • Coordinate with various departments to support company events and meetings.

Requirements

  • High school diploma or equivalent; higher education is a plus.
  • Proven experience in a front office or customer service role preferred.
  • Excellent communication and interpersonal skills to interact effectively.
  • Strong organizational and multitasking skills to handle varied tasks efficiently.
  • Proficiency in MS Office Suite, particularly Word, Excel, and Outlook.
  • Ability to work independently and as part of a team with a proactive attitude.
  • Demonstrated problem-solving skills and ability to handle inquiries and complaints.
  • Flexibility to work in shifts, including weekends or holidays if required.
