Job Description

A Front Desk Executive serves as the face of an organization, often being the first point of contact for visitors, clients, and employees. This role is crucial in creating a welcoming and professional atmosphere that reflects positively on the company. The Front Desk Executive is responsible for providing administrative support, ensuring the smooth operation of front office activities, and delivering excellent customer service. They manage a range of tasks from answering phone calls, greeting guests, and handling inquiries to coordinating office supplies and supporting other departments. The ideal candidate should possess exceptional communication and organizational skills, with the ability to multitask in a fast-paced environment. A successful Front Desk Executive will be proactive, customer-focused, and capable of maintaining a friendly yet efficient office environment.


Responsibilities

  • Welcome and greet guests and clients in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls using a multi-line telephone system.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Keep the reception area clean, tidy, and organized at all times.
  • Receive and sort daily mail and deliveries, and manage courier services.
  • Schedule appointments and coordinate meeting room bookings as required.
  • Provide basic and accurate information in-person and via phone/email.
  • Assist with clerical tasks such as filing, photocopying, and data entry when needed.
  • Collaborate with the administrative team to ensure office supplies are stocked and ordered.
  • Handle customer complaints and issues with patience and a positive attitude.
  • Monitor office equipment and coordinate service when necessary to ensure functionality.
  • Support other departments with additional administrative tasks as directed by management.

Requirements

  • High school diploma or equivalent education; college degree preferred.
  • Proven work experience in a similar front desk or receptionist role.
  • Proficiency in Microsoft Office Suite and basic office equipment handling.
  • Strong written and verbal communication skills are essential.
  • Excellent organizational skills with the ability to multitask effectively.
  • Professional attitude and appearance at all times are mandatory.
  • Customer service orientation with a friendly and approachable demeanor.
