Job Description

The role of a Front Desk Executive is pivotal in ensuring the smooth and efficient operations of the front office. As the first point of contact for visitors and guests, the Front Desk Executive is responsible for providing a warm welcome and a professional image to clients, guests, and employees alike. This role requires exemplary interpersonal skills, a professional demeanor, and a dedication to maintaining the best practices in customer service and administrative management. The Front Desk Executive must be adept at handling a variety of tasks simultaneously, from managing phone calls and correspondence to ensuring the lobby area is presentable and welcoming. Being detail-oriented and having the ability to communicate effectively are key to success in this position.


Responsibilities

  • Greet and welcome visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office locations.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries promptly.
  • Maintain office security by following safety procedures and controlling access.
  • Keep updated records of office expenses and costs efficiently.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Coordinate and schedule appointments and meetings as needed.
  • Assist with various administrative tasks as requested by management.
  • Support the administrative team with various data entry and organization tasks.

Requirements

  • Proven work experience as a Front Desk Executive or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential.
  • Hands-on experience with office equipment like printers and fax machines.
  • Strong communication and interpersonal skills for effective customer service.
  • Excellent organizational skills with the ability to multitask efficiently.
  • High school diploma; additional qualification in Office Administration is a plus.
  • Professional attitude and appearance with solid work ethics.
