As a Front Desk Executive, you will be the first point of contact for our organization. Your role is crucial in creating a welcoming and efficient environment for clients, guests, and employees alike. You will manage the reception area, coordinate all front desk activities, and offer support to the administration team. Responsibilities

  • Greet clients and visitors warmly, ensuring a positive first impression.
  • Manage incoming calls efficiently, directing them as required to appropriate personnel.
  • Maintain reception area cleanliness and organize reading materials for guests.
  • Utilize calendar tools to coordinate and schedule meetings and appointments.
  • Assist in ensuring office security by following safety procedures and controlling access.
  • Handle queries and provide accurate information about the company's services and products.
  • Maintain visitor logs, ensuring proper check-in and check-out records are kept.
  • Coordinate mail distribution and manage both incoming and outgoing correspondence.
  • Support administrative tasks such as data entry, document filing, and office supply management.
  • Assist with travel arrangements and accommodation booking for staff members.
  • Ensure technology and company assets at the front desk are functioning correctly.
  • Liaise with maintenance staff regarding any office repairs or outdoor service requirements.

Requirements

  • Proven experience as a front desk executive or in a similar role.
  • Excellent verbal and written communication skills in English.
  • Strong organizational skills and the ability to multitask effectively.
  • Proficient in Microsoft Office Suite and familiar with office tools.
  • Outstanding customer service skills for dealing with diverse client needs.
  • High school diploma or equivalent, with further education a plus.
  • Professional appearance and a friendly, welcoming demeanor at all times.
