Job Description

The Front Desk Executive plays a pivotal role in ensuring the smooth and efficient operation of the front desk at an organization. This role is not just about sitting at a desk and answering calls, but being the face of the company, welcoming guests, and providing exceptional customer service. The Front Desk Executive is responsible for creating a positive first impression, maintaining the organization's brand image, and handling inquiries with professionalism and a welcoming demeanor. This position requires strong communication skills, attention to detail, and the ability to handle multiple tasks simultaneously. The ideal candidate will have experience in a similar role, a customer-oriented approach, and the ability to manage administrative functions efficiently.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person or department swiftly and efficiently.
  • Answer, screen, and forward incoming phone calls professionally and timely.
  • Provide accurate information in response to client inquiries or requests.
  • Maintain a tidy reception area, ensuring all necessary material is present.
  • Receive, sort, and distribute daily mail or deliveries accurately and promptly.
  • Manage appointment bookings and schedule meetings when required.
  • Keep office security by following safety procedures and controlling access.
  • Maintain and update the office contact list regularly as required.
  • Order office supplies and keep inventory of stock when necessary.
  • Provide basic and accurate information on products or services offered.
  • Perform other clerical duties such as filing, photocopying, and faxing as needed.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficient in Microsoft Office Suite and other necessary office equipment.
  • Strong written and verbal communication skills in order to interact professionally.
  • Customer service attitude with an ability to handle challenging situations calmly.
  • Professional appearance and approach with attention to detail.
  • Good organizational skills with the ability to multitask efficiently.
  • High school diploma; additional certification in Office Management is a plus.
